A mid‑sized private equity firm lacked a formal data cataloging capability and had no centralized view of its business terminology, system metadata, dataset structures, or column‑level definitions. Teams relied on ad‑hoc knowledge, spreadsheets, and tribal understanding of data, which created inconsistencies in reporting, slowed analysis, and made it difficult to answer even basic data questions.
The organization had also never defined what qualified as a Critical Data Element (CDE), resulting in inconsistent prioritization and unclear ownership. Approach
- Designed and delivered an Excel‑based Data Catalog Program, tailored to the firm’s size, maturity, and resource constraints while still aligning to DAMA‑based metadata principles.
- Created a complete set of metadata artifacts, including:
- Business Glossary — standardized business terms, definitions, and owners
- System Metadata — source systems, purpose, and platform details
- Dataset Metadata — tables, files, and logical groupings
- Column Metadata — field‑level definitions, formats, and business rules

- Facilitated knowledge‑transfer sessions with Business stakeholders to identify and validate the firm’s Critical Data Elements, ensuring alignment across investment, finance, operations, and portfolio management teams.
